Operations Senior Revenue Operations Specialist at Roofr

Optimizes revenue operations processes, systems, and workflows across sales, marketing, and customer success teams to drive efficiency and scalability.

Senior Posted about 6 hours ago RemoteFirstJobs Product
What this role involves

At Roofr, we’re obsessed with our customers. We constantly gather feedback to shape, prioritize, and launch the products they truly need. That’s what makes Roofr’s CRM special. We started by building essential sales tools like aerial roof measurements and digital sales proposals. But when our customers asked for a simple, affordable way to manage and scale their entire businesses, we listened. So, we created a CRM that connects these solutions—along with payments, material ordering, and more—into a seamless, powerful platform. With a clear roadmap ahead, we’re excited to continue expanding and leading the market with innovative products.

We have an amazing culture, strong financials, and best-in-class company metrics. It’s an exciting time to be part of an extraordinary startup that is already successful, yet still early enough to offer its team significant growth, equity, and the opportunity to make a real impact.

This position is for an existing vacancy.

We’re looking for a Senior Revenue Operations Specialist to drive operational excellence, efficiency, and scalability across Roofr’s Revenue organization. As a key member of the RevOps team, you’ll play a hands-on role optimizing GTM processes, improving our technology ecosystem, strengthening data integrity, and building AI-ready systems that enable our Revenue teams to perform at their best.

You’ll work closely with Sales, Marketing, Customer Success, and Enablement to identify operational challenges, develop solutions, automate manual processes, and ensure our systems and workflows support a seamless customer and revenue lifecycle.

This is a highly collaborative, execution-oriented role for someone who enjoys solving complex operational problems, working deeply in systems and data, and turning business needs into scalable and AI-forward technology solutions.

What You’ll Do:

Optimize Revenue Processes & Systems

  • Identify operational challenges across the Revenue org and develop scalable solutions that improve efficiency, productivity, and the GTM experience.
  • Design, implement, and continuously optimize Revenue processes, workflows, and systems across the customer lifecycle.
  • Apply a structured, project-management-oriented approach to understand problems, evaluate solutions, manage implementation, and measure outcomes.
  • Partner with Revenue leaders and ICs to understand their needs, gather feedback, test solutions, and ensure initiatives meaningfully improve team performance.
  • Look for opportunities to simplify processes, eliminate unnecessary manual work, and design human-in-the-loop AI workflows to improve efficiency for Revenue teams.

Drive Process Automation & AI Enablement

  • Identify opportunities to automate repetitive and manual processes using existing technology, integrations, and automation platforms.
  • Build and maintain workflows, automations, routing, notifications, and other system-based solutions that improve team productivity.
  • Leverage connectors such as Fivetran, Zapier, or similar platforms to connect systems and improve data flow.
  • Continuously evaluate opportunities to use AI and emerging technologies to improve Revenue productivity and operational scale.

Own & Optimize the Revenue Technology Stack

  • Serve as a subject matter expert and administrator for HubSpot Marketing Hub and Sales Hub.
  • Own the creation, maintenance, and optimization of pipelines, workflows, custom views, templates, playbooks, lists, and other HubSpot functionality supporting Revenue initiatives.
  • Manage and optimize key Revenue technologies including Aircall, Sakari, Gong, Stripe, Hippo Video, and Guru.
  • Ensure systems are configured effectively, adopted appropriately, and integrated into Revenue workflows.
  • Stay current on product capabilities and emerging features, identify opportunities to improve our technology stack, and maintain relationships with key technology vendors.

Strengthen Data & Revenue Insights

  • Maintain strong data integrity practices across the tools, processes, and automations you own.
  • Ensure GTM data is clean, consistently structured, and AI-ready.
  • Use data to identify trends, diagnose operational issues, and measure the impact of Revenue initiatives.
  • Support analysis related to lead scoring, customer health, pipeline performance, conversion, productivity, and other Revenue performance indicators.
  • Translate data and operational insights into actionable recommendations for Revenue teams.

Partner Across Revenue

  • Work closely with leaders and ICs across Sales, Marketing, Customer Success, and Enablement to inform your roadmap and prioritize initiatives.
  • Partner with the Revenue Enablement Specialist to ensure new tools, processes, and AI-assisted workflows are effectively rolled out, documented, and adopted.
  • Engage Revenue team members as partners in testing new processes and tools, and incorporate their feedback into solutions.

Documentation & Operational Excellence

  • Create and maintain clear documentation for tools, systems, processes, workflows, and automations.
  • Ensure documentation is accessible and easy for Revenue teams to understand and use.
  • Partner with Enablement to support training and adoption of new tools and processes.
  • Establish repeatable processes that make it easier for teams to understand and consistently use Revenue systems.

What You’ll Bring:

  • 4+ years of experience in Revenue Operations, Sales Operations, Marketing Operations, or Customer Success Operations.
  • Hands-on HubSpot administration experience across Marketing Hub and Sales Hub.
  • Experience owning, implementing, and optimizing Revenue technology and GTM systems such as CRM, conversation intelligence, sales engagement, communication, customer education, and payment platforms.
  • Strong understanding of Revenue processes and how systems, data, and workflows support the broader GTM motion.
  • Experience building and optimizing workflows, automations, integrations, and data flows.
  • Strong analytical skills and the ability to use data to identify problems, inform decisions, and measure impact.
  • Demonstrated experience evaluating or implementing AI-powered GTM tools — not just familiarity, but hands-on work with AI-assisted workflows, automation platforms, or agentic tooling.
  • Strong project management skills with the ability to independently drive initiatives from concept through implementation.
  • Ability to thrive in a fast-paced, agile, and dynamic environment where priorities can change quickly.
  • Strong cross-functional collaboration skills and the ability to work effectively with stakeholders at all levels.
  • Excellent written and verbal communication skills, with the ability to translate technical concepts into clear, actionable recommendations.

Who You Are:

  • You’re a builder and problem solver who enjoys figuring out how things work and finding better ways to make them work.
  • You naturally look for opportunities to simplify, automate, and scale processes and you think critically about where AI creates real leverage versus where humans still need to be in the loop.
  • You’re highly detail-oriented and understand that clean, well-structured data is the foundation of effective RevOps.
  • You’re comfortable getting deep into systems and technical details while keeping the broader business objective in mind.
  • You take ownership and don’t need a playbook to get started.
  • You are curious about new technology, including AI and automation, and think critically about where it can create meaningful business value.
  • You’re an effective cross-functional partner who understands that successful RevOps solutions start with understanding the people and processes they support.
  • You are comfortable operating in a PLG and/or PLS environment and understand how operational processes and systems need to support both self-serve and sales-assisted customer journeys.

Bonus:

  • HubSpot certifications, including HubSpot Certified Administrator, HubSpot Marketing Software, or HubSpot Sales Software.
  • Experience integrating GTM technologies directly as well as using Zapier or similar integration and automation platforms.
  • Experience working in an organization supporting both PLG/self-serve conversion and PLS/sales-assisted conversion models.
  • Demonstrated proficiency with tools such as Aircall, Sakari, Gong, Zendesk, Stripe, Hippovideo, Guru, and Asana.
  • Experience with AI-enabled Revenue Operations tools and automation.
  • Experience working with SaaS metrics such as pipeline conversion, velocity, retention, customer health, and productivity.

Operations Senior Customer Strategy & Operations Manager at Mixpanel

Designs and operates customer success systems, analyzes account-level data to drive retention and expansion, and builds forecasting frameworks for the post-sales motion.

Senior Posted about 9 hours ago RemoteFirstJobs Product
What this role involves

About Mixpanel

Mixpanel is the leading product intelligence and analytics platform, trusted by more than 29,000 companies to help understand how people use the products they build. By combining powerful analytics with AI that knows your business, Mixpanel helps teams see what’s working, diagnose what’s not, and decide what to build next. Learn more at mixpanel.com.

About the Team

The Revenue Strategy & Operations team at Mixpanel partners with Regional and Global Business Leaders to set and execute revenue strategy across the customer lifecycle. We build the strategy, operational processes, reporting infrastructure, and decision-making frameworks that make our GTM teams successful.

About the Role

As Senior Customer Strategy & Operations Manager, you’ll be the strategic advisor and operating partner to our VP of Global Customer Success. You’ll own how we understand, retain, and grow our customer base - diagnosing what drives upsell, what predicts churn, and what we need to build to scale the post-sales motion.

This isn’t a role where you inherit a clean process and tune it at the margins. You’ll get your hands dirty in customer-level data, design the systems that turn signals into action, and build AI-powered tooling. You’ll work directly with CS leadership day-to-day and feed field-level insight back into the broader Revenue Strategy team and GTM leadership.

You bring the structured thinking of a consultant and the bias for action of an operator. You’re equally comfortable in a strategy session with the VP and three layers deep in a SQL query.

Responsibilities

  • Customer analysis at the account level. Get hands-on with the data to understand what drives expansion, what predicts churn, and where the highest-leverage interventions live. You’ll connect product usage signals, customer health, and commercial outcomes  and translate the findings into decisions the CS org acts on.
  • Forecasting and pipeline rigor for the post-sales motion. Build and evolve how we forecast GRR, NRR, and expansion pipeline. You’re technical enough to wire up the inputs yourself.
  • The CS operating cadence. Run the rhythm - business reviews, executive deep dives, leadership offsites - and make sure the right questions get asked with the right data behind them.
  • CS systems and tooling. Partner with our systems team on our CS platform and its integrations with Salesforce and our product data. You’ve deployed or deeply operated one of these before and know where the leverage is.
  • AI as a force multiplier. Build skills, agents, and automations that the whole CS org can adopt.
  • Strategic partnership with Global CS leadership. Act as a true business partner in the room, in the work, jointly owning the outcomes. You’ll also coordinate with peers supporting other functions to make sure the post-sales view connects to the broader GTM picture.

We’re Looking for Someone Who Has

  • 5+ years operating in Revenue Strategy, Sales Strategy, CS Operations, or Business Operations at a high-growth B2B SaaS company. Ideally smaller, fast-moving environments where you own outcomes end-to-end.
  • Direct experience supporting a Customer Success or Post-Sales organization. You’ve worked alongside CS leadership, understand the mechanics of retention and expansion, and have driven measurable impact on GRR, NRR, or churn.
  • Hands-on with a CS platform. You’ve deployed, administered, or deeply operated a CSP. You understand health scoring, playbooks, and lifecycle workflows.
  • Strong technical and analytical instincts. You write your own SQL, build your own models, and work directly with operational data.
  • Enterprise product experience. You’ve worked on a product sold to Enterprise customers.
  • Structured thinking and commercial judgment. Your work is rigorous, your priorities are clear, and you build for impact.
  • Exceptional communication. You can move from a SQL query to an exec-level recommendation in the same hour.
  • Genuine, daily AI fluency. You’ve built skills, agents, or automated workflows that others use.

#LI-Hybrid

Benefits and Perks

  • Comprehensive Medical, Vision, and Dental Care
  • Mental Wellness Benefit
  • Generous Vacation Policy & Additional Company Holidays
  • Enhanced Parental Leave
  • Volunteer Time Off
  • Additional US Benefits: Pre-Tax Benefits including 401(K), Wellness Benefit, Holiday Break

*please note that benefits and perks for contract positions will vary*

Culture Values

  • Make Bold Bets: We choose courageous action over comfortable progress.
  • Innovate with Insight: We tackle decisions with rigor and judgment - combining data, experience and collective wisdom to drive powerful outcomes.
  • One Team: We collaborate across boundaries to achieve far greater impact than any of us could accomplish alone.
  • Candor with Connection: We build meaningful relationships that enable honest feedback and direct conversations.
  • Champion the Customer: We seek to deeply understand our customers’ needs, ensuring their success is our north star.
  • Powerful Simplicity: We find elegant solutions to complex problems, making sophisticated things accessible.

Why choose Mixpanel?

We’re a leader in analytics with over 9,000 customers and $277M invested from prominent investors: like Andreessen-Horowitz, Sequoia, YC, and, most recently, Bain Capital. Mixpanel’s pioneering event-based data analytics platform offers a powerful yet simple solution for companies to understand user behaviors and easily track overarching company success metrics. Our accomplished teams continuously facilitate our expansion by tackling the ever-evolving challenges tied to scaling, reliability, design, and service. Choosing to work at Mixpanel means you’ll be helping the world’s most innovative companies learn from their data so they can make better decisions.

Mixpanel is an equal opportunity employer supporting workforce diversity. At Mixpanel, we are focused on things that really matter—our people, our customers, our partners—out of a recognition that those relationships are the most valuable assets we have. We actively encourage women, people with disabilities, veterans, underrepresented minorities, and LGBTQ+ people to apply. We do not discriminate on the basis of race, religion, color, national origin, gender, gender identity or expression, sexual orientation, age, marital status, veteran status, or disability status. Pursuant to the San Francisco Fair Chance Ordinance or other similar laws that may be applicable, we will consider for employment qualified applicants with arrest and conviction records. We’ve immersed ourselves in our Culture and Values as our guiding principles for the impact we want to have and the future we are building.

SB Energy also leverages a strong culture of innovation to identify and integrate new technologies into its projects, including its AI-based digital platform, delivering energy infrastructure that is local, reliable, and matched to load. We are building the energy and infrastructure future—today.

Come join us in accelerating the energy and infrastructure transition!

Title- Supplier Quality Manager

Basic Function:

The Supplier Quality Manager will help develop, implement, and operate the supplier quality program supporting SB Energy’s data center portfolio. Reporting to the Director of Quality, this role will establish and manage quality controls for owner-furnished/contractor-installed (OFCI) and other critical supplier-provided equipment from supplier qualification and design review through production, factory testing, shipment, site receipt, installation, startup, and final turnover.

The Supplier Quality Manager will work closely with equipment suppliers, OEMs, engineering, procurement, project teams, third-party inspectors, general contractors, commissioning teams, site quality personnel, and operations to confirm that supplier-provided equipment meets SB Energy’s technical requirements, approved specifications, quality standards, and project schedules.

This role will support the broader SB Energy Quality Program by developing standardized supplier quality procedures, supplier requirements, inspection and test plans, factory audit processes, reporting tools, performance metrics, and corrective action workflows that can be consistently deployed across data center projects.

Duties and Responsibilities:

Supplier Quality Program Development and Governance

  • Partner with the Director of Quality to develop, launch, operate, and continuously improve the supplier quality component of the SB Energy Quality Program.
  • Establish program standards, specifications, procedures, workflows, templates, checklists, approval criteria, roles, and stage gates for critical supplier-provided equipment.
  • Develop risk-based quality requirements and oversight plans based on equipment criticality, technical complexity, supplier capability, project schedule, and prior performance.
  • Integrate supplier quality requirements with engineering, procurement, project quality plans, construction, commissioning, operations, and turnover processes.
  • Support development of quality language for equipment specifications, contracts, purchase orders, scopes of work, supplier data requirements, and third-party inspection services.
  • Maintain a centralized repository of approved supplier quality standards, forms, inspection records, and lessons learned in company-approved systems and tools.
  • Drive standardization across projects while allowing documented, risk-based adjustments for project-specific requirements.

Supplier Qualification and Quality Planning

  • Lead or coordinate supplier due diligence, qualification audits, capability assessments, and periodic performance reviews.
  • Assess supplier quality management systems, organization, technical capability, production capacity, process controls, sub-tier supplier management, material traceability, calibration, document control, nonconformance management, and corrective action processes.
  • Support procurement and engineering teams during sourcing, prequalification, bid evaluation, supplier selection, and award recommendations.
  • Develop supplier risk ratings and define the appropriate level of surveillance, audit, inspection, and testing for each equipment package.
  • Review supplier quality plans, inspection and test plans (ITPs), production schedules, factory acceptance test (FAT) procedures, inspection checklists, and required quality submittals.
  • Establish clear hold points, witness points, review points, release criteria, documentation requirements, and notification periods before production begins.
  • Confirm that quality requirements are flowed down to critical sub-tier suppliers and incorporated into supplier production and testing plans.

Supplier Oversight, Factory Inspection, and Testing

  • Plan and manage supplier audits, in-process production surveillance, source inspections, factory acceptance testing, bench testing, controls testing, final inspections, and shipment release reviews.
  • Perform inspections directly and coordinate qualified third-party inspectors, testing agencies, and subject matter experts when specialized coverage is required.
  • Verify compliance with approved drawings, specifications, submittals, bills of material, production procedures, inspection criteria, test procedures, and applicable codes and standards.
  • Evaluate materials, critical dimensions, workmanship, assembly, labeling, configuration, cleanliness, preservation, packaging, test results, and readiness for shipment.
  • Confirm that inspection and test instruments are appropriate, calibrated, traceable, and within their required calibration periods.
  • Monitor supplier production progress and quality risks against project milestones, identify potential schedule or reliability impacts, and escalate significant concerns promptly.
  • Recommend shipment release only after required inspections, tests, documentation, and corrective actions are complete or formally addressed through an approved exception.
  • Ensure findings and action items from factory visits, inspections, and tests are clearly documented, assigned, tracked, and verified before closure.
  • Provide oversight for critical electrical, mechanical, controls, and modular or prefabricated systems, including equipment such as transformers, switchgear, busway, generators, UPS and battery systems, cooling equipment, pumps, electrical and mechanical skids, BMS/EPMS panels, and packaged control systems, as applicable.

Nonconformance, Corrective Action, and Supplier Performance

  • Manage supplier nonconformance reports, deviations, concessions, repair or replacement proposals, and requests for waiver in coordination with engineering and project stakeholders.
  • Require timely containment, correction, root cause analysis, and corrective and preventive action for significant or recurring supplier quality issues.
  • Apply structured problem-solving methods, including 8D and root cause analysis, when issue severity or recurrence warrants formal investigation.
  • Verify that corrective actions address the underlying cause, are fully implemented, and are effective before final closure.
  • Track recurring defects, systemic supplier issues, late documentation, failed tests, shipping damage, and other trends across projects and equipment categories.
  • Develop and maintain supplier quality scorecards that support sourcing decisions, performance reviews, escalation, and continuous improvement.
  • Support warranty claims, supplier recovery efforts, replacement planning, and field corrective actions when supplier defects affect project execution or asset performance.

Project Integration, Logistics, and Handover

  • Coordinate closely with project quality managers, engineering, procurement, logistics, construction, commissioning, site operations, and general contractors to align supplier quality activities with project needs.
  • Establish supplier data, inspection, testing, and turnover documentation requirements early enough to support construction and commissioning schedules.
  • Support shipment readiness, packaging, preservation, transportation planning, site receipt inspections, and resolution of shipping damage, missing components, or preservation concerns.
  • Ensure required supplier quality and production records are complete and accessible, including audit reports, inspection reports, FAT results, material certifications, calibration records, approved deviations, nonconformance closures, as-built documents, warranties, and asset data.
  • Support site installation, startup, commissioning, and turnover teams in resolving supplier-related quality issues and coordinating supplier response.
  • Confirm that supplier quality records are linked to the applicable equipment and retained in the owner-approved document and asset management platform.
  • Capture project and supplier lessons learned and incorporate them into future specifications, checklists, sourcing decisions, and quality plans.

Metrics, Reporting, and Continuous Improvement

  • Establish and monitor supplier quality key performance indicators, including supplier audit findings, first-pass FAT results, nonconformance aging, corrective action closure, recurring defects, documentation completeness, shipping damage, and on-time release performance.
  • Prepare clear reports and dashboards for the Director of Quality and other stakeholders, highlighting performance, risks, overdue actions, emerging trends, and required decisions.
  • Analyze supplier and equipment performance across projects to identify systemic risks and opportunities for standardization or preventive action.
  • Lead continuous improvement initiatives that reduce defects, improve first-time quality, strengthen supplier accountability, and protect project schedule and reliability.
  • Share supplier quality performance and lessons learned with project teams, leadership, procurement, engineering, commissioning, and operations.

Operations Head of Fund Operations – Credit Fund at Xsolla

Designs and runs the operational infrastructure for a private credit fund, managing fund formation, LP onboarding, capital calls, valuation, reporting, and audit readiness.

Lead Posted 1 day ago RemoteFirstJobs Product
What this role involves

ABOUT THE OPPORTUNITY

Xsolla is seeking a Head of Fund Operations to stand up and run the operating machinery of the Xsolla Credit Fund. You have taken a private fund from formation through first close before, and you know the full stack: structure and LPA work with counsel, service-provider selection, LP onboarding, capital calls, valuation policy, reporting, and audit readiness.

This is a builder’s mandate. You will design the fund’s operating playbook, run it, and document it so the fund operates to institutional standards from day one — and mentor the junior operations hires who join as the fund scales.

The role reports directly to Stan Rudoi, Chief Credit Officer and Head of the Xsolla Credit Fund.

ABOUT US

Xsolla is a global commerce company with robust tools and services to help developers solve the inherent challenges of the video game industry. From indie to AAA, companies partner with Xsolla to help them fund, distribute, market, and monetize their games. Grounded in the belief in the future of video games, Xsolla is resolute in the mission to bring opportunities together, and continually make new resources available to creators. Headquartered and incorporated in Los Angeles, California, Xsolla operates as the merchant of record and has helped over 1,500+ game developers to reach more players and grow their businesses around the world. With more paths to profits and ways to win, developers have all the things needed to enjoy the game.

Beyond its core commerce platform, Xsolla is building a private credit fund that lends to video game studios, underwritten with a data advantage no traditional lender has: Xsolla’s own payments telemetry across thousands of games. The fund is in its capital formation phase and is led by Stan Rudoi, Chief Credit Officer. This is a ground-floor opportunity to help raise a first-time fund inside a profitable, global gaming-commerce company, alongside the broader Xsolla capital markets ecosystem (Xsolla Funding Club, Xsolla SPAC 1 — Nasdaq: XSLLU, and other strategic vehicles).

For more information, visit xsolla.com.

Responsibilities

Fund Formation and Structuring

  • Drive fund formation with external fund counsel: vehicle and jurisdiction selection, LPA and side letters, GP and management company setup, and the regulatory perimeter.
  • Own the LPA from the operator’s seat: terms, economics, and governance mechanics — and translate them into operational reality once signed.

Service Provider Stack

  • Select and manage the provider stack: fund administrator, auditor, tax advisors, banking/custody, and compliance vendors — and manage them to institutional standards.
  • Own provider economics: negotiate scopes and fees; keep the fund’s operating cost model lean and LP-defensible.

Fund Operations

  • Run the core machinery: capital calls and distributions, LP onboarding and KYC/AML, expense management, and cash movement controls.
  • Own valuation and NAV: valuation policy, NAV oversight with the administrator, and credit-fund specifics such as borrowing-base mechanics and leverage facility administration.

LP Reporting and Diligence Readiness

  • Build the reporting stack: quarterly reporting (ILPA-aligned), capital account statements, and LP communications infrastructure.
  • Keep the fund diligence-ready: DDQ responses, operational due-diligence readiness, and the operations sections of the data room — before LPs ask.

Compliance and Governance

  • Establish the policy framework: valuation, allocation, conflicts, and ESG/AML policies; regulatory filings with counsel; audit coordination.
  • Design for scrutiny: so every process has a documented owner, control, and audit trail that stands up to institutional operational due diligence.

Operating Playbook and Team Building

  • Codify the fund’s operating playbook: documented processes, controls, and owners for every core workflow — built for operational due diligence from day one.
  • Scale the function: as the fund scales, build out and mentor the junior operations team (controller, fund accountants) and integrate with Xsolla’s finance and legal teams.

Qualifications and Skills

Experience

  • 7+ years in fund operations, fund CFO, or fund controllership roles at private credit or other private capital funds.
  • You have taken at least one private fund from formation through first close — this is the core requirement. You know what breaks, in what order, and how to prevent it.
  • Deep working knowledge of LPA terms, fund administration, capital call mechanics, and ILPA reporting standards.
  • Credit-fund specifics — leverage facilities, borrowing bases, loan administration, asset-level reporting — are a strong plus.

Skills and Competencies

  • Hands-on operator: comfortable being the entire operations function on day one, with providers as your leverage.
  • Rigorous documentation and controls discipline; you build processes that pass operational due diligence, not just processes that work.
  • Strong commercial judgment on provider selection, fee negotiation, and build-vs-outsource decisions.
  • Clear communicator who can explain fund mechanics to non-fund people — including investors, borrowers, and Xsolla leadership.

Education and Credentials

  • A bachelor’s degree in finance, accounting, economics, or a related field; CPA, a CFA charter, or an MBA is preferred.

Benefits

We are passionate about fostering a supportive environment for our team, so we prioritize the physical, mental, and emotional well-being of our employees and their families through a comprehensive Benefits Program. This includes 100% company-paid medical, dental, and vision plans, unlimited Flexible Time Off, and a personalized career roadmap for each employee. By investing in professional development through training and educational opportunities, we ensure that our team thrives both personally and professionally. Together, we’re not just building a business; we’re cultivating a community that values creativity, collaboration, and the transformative power of play.

Builds and scales benefit verification operations, designs processes and workflows, partners with AI engineering to automate work, and manages team performance and customer relationships.

What this role involves

Senior Manager, Benefit Verification & Authorization Operations

About the Role

The Senior Manager of BVA will play a critical role in building and scaling BVA into a fully operational, high-performing service. In partnership with leadership, this person will help shape how the business operates and build the processes, structure, and operating model needed to support continued growth.

This is a highly operational role for someone who enjoys building. BVA is continuing to evolve, and this leader will be responsible for taking areas that may be manual, inconsistent, or still developing and creating clear, repeatable ways of working. They will look across the operation to understand what is working, where we are creating unnecessary complexity, and what needs to change to support the next stage of the business.

The Senior Manager will work closely with Managers and Team Leads to ensure the day-to-day operation is performing while also staying focused on longer-term improvements. They will build the systems and expectations that allow leaders to effectively manage performance, quality, capacity, and customer needs.

A significant part of this role will be partnering with our AI Engineering team. The Senior Manager will bring a strong understanding of BVA operations into that partnership—identifying opportunities to automate work, improve workflows, and develop tools that make the team more effective and allow the service to scale.

This person will also help define what a strong BVA customer experience looks like. They will build a consistent approach to onboarding new customers, strengthen ongoing customer partnerships, and ensure what we learn from customers is incorporated into how the service evolves.

What You’ll Do

Build and Scale the BVA Operation

  • Partner with leadership to build and scale the BVA service, translating business priorities into operational plans and execution.

  • Develop the processes, workflows, SOPs, ownership models, handoffs, and operating rhythms needed to create a consistent and scalable operation.

  • Evaluate how work is being completed today and identify opportunities to simplify, standardize, automate, or redesign processes.

  • Build processes with future growth in mind, ensuring solutions can scale as customer volume, team size, and service complexity increase.

  • Create clear ownership and accountability across the operation so teams understand who owns what, how work moves between teams, and when issues need to be escalated.

  • Identify operational risks and recurring pain points and solve root causes rather than relying on ongoing manual intervention.

  • Develop mechanisms to ensure new processes are successfully implemented, adopted, and maintained.

  • Continuously evaluate the operating model and adjust as the BVA service and customer needs evolve.

Drive Operational Excellence

  • Establish clear expectations and measures for quality, productivity, service levels, capacity, and overall operational performance.

  • Build reporting and operating cadences that give leadership visibility into how the business is performing and where support or intervention is needed.

  • Use operational data to identify trends, understand root causes, prioritize improvements, and measure impact.

  • Partner with Managers and Team Leads to identify performance gaps and create sustainable solutions.

  • Develop quality assurance and process controls that create consistency while allowing the operation to move efficiently.

  • Improve how the team plans for volume and capacity so staffing and resources align with customer needs.

  • Create feedback loops between frontline team members, leaders, customers, and cross-functional partners to continuously improve how BVA operates.

  • Ensure operational changes are supported by clear documentation, training, and expectations.

Partner with AI Engineering

  • Build a strong working partnership with the AI Engineering team and serve as a key operational partner in the development of tools and automation for BVA.

  • Develop a deep understanding of where the team spends time today and identify high-impact opportunities to reduce manual work and improve workflows through AI and automation.

  • Translate operational problems into clear use cases and requirements for technical partners.

  • Bring frontline and customer context into solution development to ensure tools solve the intended problem and work within BVA operations.

  • Partner on testing and piloting new capabilities before broader implementation.

  • Lead the operational implementation of new tools and workflows, including process changes, documentation, training, adoption, and feedback.

  • Monitor how new solutions are performing and partner with AI Engineering and BVA leaders on continued improvement.

  • Help measure the impact of AI and automation on efficiency, capacity, quality, and customer experience.

Build the Customer Experience

  • Help define and build the BVA customer experience from initial onboarding through ongoing service delivery.

  • Develop a structured and repeatable onboarding process that creates clear expectations, captures the information the team needs, and sets both the customer and BVA team up for success.

  • Identify common onboarding challenges and build processes that make implementations more efficient and consistent.

  • Establish clear ownership and handoffs throughout the customer journey.

  • Build strong ongoing partnership practices with customers, including communication expectations, performance discussions, feedback, and escalation processes.

  • Develop mechanisms for gathering customer feedback and ensure that feedback translates into meaningful improvements to the service.

  • Look across customers to identify common needs, challenges, and opportunities that should influence how BVA evolves.

  • Ensure customers experience BVA as a consistent and reliable partner as the service continues to grow.

Lead and Develop the Team

  • Lead and develop BVA Managers and other leaders, creating clear expectations around ownership, performance, and leadership.

  • Coach leaders to move beyond day-to-day issue resolution and develop stronger problem-solving and operational management skills.

  • Ensure Managers and Team Leads have the tools, processes, and information needed to effectively run their teams.

  • Create accountability for operational performance while providing leaders with the support needed to address challenges.

  • Develop a strong leadership bench and identify opportunities for continued growth and development across the team.

  • Create an environment where leaders and frontline team members are encouraged to identify problems, challenge inefficient processes, and contribute ideas for improvement.

  • Partner with leadership on organizational needs as the business grows, including team structure, leadership capacity, and evolving roles and responsibilities.

  • Help connect the day-to-day work of the team to the broader goals and direction of BVA.

Partner Across the Business

  • Serve as a strong cross-functional partner and represent BVA operational needs across the organization.

  • Bring together the right partners to solve problems that cross team or functional boundaries.

  • Communicate operational challenges, priorities, and tradeoffs clearly to leadership and cross-functional stakeholders.

  • Partner with leadership to evaluate new opportunities and understand the operational requirements needed to support them.

  • Ensure changes across the organization are thoughtfully incorporated into BVA processes and communicated to the team.

Minimum Requirements

  • 7+ years of experience in operations, service delivery, revenue cycle management, customer operations, or a related field.

  • 3+ years of experience leading people leaders, including Managers and/or Team Leads.

  • Demonstrated experience building, standardizing, and improving operational processes in a growing or changing environment.

  • Experience managing complex operations using performance metrics, quality measures, and operational data to drive decisions.

  • Proven ability to identify operational gaps, determine root causes, and implement scalable solutions.

  • Experience leading cross-functional initiatives and partnering with teams outside of your direct organization.

  • Experience building or improving customer onboarding, implementation, or ongoing service-delivery processes.

  • Strong written and verbal communication skills, with the ability to work effectively across frontline teams, leadership, customers, and technical partners.
