Oracle Operations Manager

Role Summary

The Oracle Operations Manager will work with the Oracle IT team to plan, execute operations, and manage enterprise programs to successful completion. Our large-scale programs span multiple quarters and involve IT, various Business Verticals, and Technical Operations teams across the Oracle ecosystem.

You bring a passion for matching complex business needs with technically innovative solutions, and excel at shifting between high-level strategy and technical execution. You are able to implement and drive standardized Oracle operational methodologies to ensure persistent progress. The ideal candidate is flexible and comfortable playing multiple roles—diplomat, moderator, negotiator, and coach - within a large-scale enterprise environment. Combined with deep technical expertise in cloud operations, you have the ability to build trust and strong partnerships with counterparts in Engineering, Development, and Business units.

Role Responsibilities:

  • Build bridges across Oracle business units to ensure programs and projects are effectively planned, developed, and deployed with quality and on-time delivery into our production environments.
  • Drive the execution of tasks within cross-functional core teams to ensure the success of large-scale initiatives comprising the Oracle operations portfolio.
  • Build transparent communication channels to align enterprise stakeholders, IT, and third-party vendors, ensuring executive audiences receive appropriate updates on program status.
  • Manage program scope and execution to committed schedules, maintaining reporting for program deliverables across multiple global business units.
  • Ensure adherence to Oracle best practices and accountability throughout the program lifecycle when working with external vendors and partners.
  • Manage critical path timelines by proactively identifying risks and facilitating the resolution of blockers to ensure the success of enterprise-tier projects.

Role Requirements

Must-Have Skills

  • Minimum 5 years’ experience in program and project management
  • Minimum 3 years proven experience in leading highly complex, enterprise-wide initiatives.
  • Proficient in solutions that service global Finance and enterprise business capabilities.
  • Strong technical background in cloud operations to facilitate architecture and integration discussions within an Oracle environment.
  • Track record of delivering technical programs through the full end to end program management lifecycle, from conception to usability study.
  • Have a balance of people, organizational, and technical skills to deliver and guide decision making without authority.
  • Work independently in a dynamic and high-pressure environment with timely delivery despite ambiguous and changing business requirements.
  • Strong competency with project management tools (Confluence, JIRA, Smartsheets, etc.) and various methodologies (Waterfall, Scrum, etc).
  • Proven ability to clearly and concisely communicate with an executive audience in both written and verbal communications in English (writing sample will be requested).

What this role involves

SMX is seeking a Project Manager to join the integrated program management office (PMO) and support the Mission Solutions Group portfolio of programs. This position is responsible for the management and direction of the day-to-day operations of contract cost, schedule, and performance execution for Maritime Operations.  The ideal candidate will provide leadership to the program team on staffing, training, administrative oversight, operations management, workforce management, budgets, sub-contracting, and property management.  The position requires periodic travel to customer-designated work sites.

Essential Duties & Responsibilities

  • Allocates appropriate resources to ensure projects are completed within given time and budget

  • Reports status, develops program/project-related documentation, implements lessons learned and updates and maintains production and quality metrics for assigned program and projects

Outcomes of this project will include case studies and policy documents, media engagement, community resources, public events, and other network-building activities. This project team will work in close collaboration with labor organizations, unions, and other community partners throughout the design, fieldwork, and public engagement phases of the project.

The Project Coordinator is responsible for facilitating and coordinating a wide range of activities for the Labor Futures team and assisting the Program Director with moving the project from planning to publication and dissemination.  The Project Coordinator coordinates and supports the team’s multi-faceted programming, provides day-to-day administrative, operational, and logistical project support, collaborates with other Data & Society departments, and maintains relationships with researchers and external partners.  The Project Coordinator works both independently and collaboratively with members of the research team and other key members of the organization.

Data & Society is seeking a Project Coordinator, Labor Futures, who serves as the main point of contact between researchers, community partners, the Labor Futures team, and other Data & Society departments, ensuring clear communication and alignment across the Cross Sector Labor & AI Project. This role does not conduct research, produce research writing, or serve in a public‑facing communications capacity.

The Cross Sector Labor & AI project is a newly launched project that applies rigorous, qualitative empirical research to understand the impacts of AI on workers, support pro-worker policy interventions, and identify opportunities to build solidarity across labor, climate, immigrant rights, and other movements. We will conduct case studies across various sectors of work to identify common patterns in the narratives, financial incentives, and practices that can disempower workers and deepen structural inequities. Outcomes of this project will include case studies and policy documents, media engagement, community resources, public events, and other network-building activities. This project team will work in close collaboration with labor organizations, unions, and other community partners throughout the design, fieldwork, and public engagement phases of the project.

The Project Coordinator is responsible for facilitating and coordinating a wide range of activities for the Labor Futures team and assisting the Program Director with moving the project from planning to publication and dissemination.  The Project Coordinator coordinates and supports the team’s multi-faceted programming, provides day-to-day administrative, operational, and logistical project support, collaborates with other Data & Society departments, and maintains relationships with researchers and external partners.  The Project Coordinator works both independently and collaboratively with members of the research team and other key members of the organization.

This position will report to the Program Director, is fully remote, and will begin in October 2026 with an end date of June 30, 2028.

The Candidate

This role is ideal for someone with a background in project coordination or community engagement and who is highly organized, detail-oriented, operationally reliable, and motivated by an interest in economic justice, technology, and democratic practice. Although this position is not an academic research role, a background in the social sciences, humanities, and/or public scholarship is highly desirable.

The Project Coordinator brings a working familiarity with research environments, including common research practices, tools, and norms, and represents the project in logistical and coordination‑focused communications with internal teams and external stakeholders.

The Project Coordinator, Labor Futures reports to the Program Director, Labor Futures, and has no people management responsibilities.

Primary Responsibilities

Administrative and Project Coordination

  • Liaise with researchers and community partners to schedule and manage regular meetings and check-ins, ensuring all parties are informed and aligned on key project developments and touchpoints.
  • Work with the Program Director to keep researchers informed of project developments, ensure participation in relevant meetings, and support timely completion of deadlines and deliverables by coordinating regular check-ins and group meetings.
  • Support the Program Director in managing the established project budget by coordinating project‑related financial workflows in adherence with internal financial policies, including but not limited to those related to IRB, participant stipends, and approved work travel for researchers.
  • Oversee implementation of an established research budget, processing requests for funds as needed and appropriate (IRB, participation stipends, work-approved and related travel) for researchers.
  • Work with the Program Director and Senior Researcher to assist researchers with report development and publication, including adherence to mutual cross project report structure and timeline, assisting with obtaining needed resources, and connecting with other researchers in the field.
  • Maintain a bird’s eye view of the various moving parts of the project by meeting with researchers or community partners, as needed, synthesizing discussions into clear action items, and identifying potential conflicts, discrepancies, or synergies to elevate to the Program Director.
  • Provide day-to-day administrative and logistical support to the Labor Futures team by overseeing the operational calendar, including scheduling meetings (including with individual researchers, team members and partners), preparing agendas and assembling pre-meeting materials, note taking, and maintaining and organizing shared file management systems.

Coordination across Teams and Researchers

  • Coordinate with the Communications, Strategy & Engagement, and Editorial teams to establish and ensure timelines and deliverables are met.
  • Work closely with the HR and Finance teams to coordinate onboarding processes for Contract Researchers, ensuring required documentation and other logistical steps are completed in a timely manner.
  • Work closely with the Finance team and Contract Researchers to support project‑related financial workflows by ensuring adherence to internal financial processes, including the timely submission of complete, accurate documentation required for payment processing by Finance.

Relationship Management and External Engagement

  • Maintain partner relationships by scheduling and preparing for meetings, fielding information requests from partners and researchers, and identifying potential issues to elevate to the Project Director in a timely manner.
  • Coordinate regular quarterly or monthly calls with partner organizations to support information sharing, project updates, and ongoing collaboration.
  • Communicate consistently with partner organizations to provide updates, event announcements and follow-up summary of notes.
  • Assist research team in maintaining a contact database of inquiries about the project from academia, civil society, and journalists.

Organizational Development

  • Contribute to the intellectual life of the organization as an active participant in internal programming: attendance at organization wide meetings, actively engage in talks, seminars or reading groups, and contributing to the development of research and engagement management practices.

Skills & Qualifications

Required qualifications

  • Bachelor’s degree required.
  • 7 plus years’ of experience in project management, coordination, community support or closely related areas.
  • Must have experience working in a research environment and deep familiarity and understanding of research practices and norms, qualitative and fieldwork-based research, and research institutions (e.g. Institutional Review Boards).
  • Familiarity with common academic software tools such as Zotero, as well as general knowledge of academic platforms like SSRN, Google Scholar, and major scholarly journals.

About the Role

We’re looking for an experienced Executive Business Partner to partner with our VP of Engineering. You will also work closely with the Chief of Staff, CTO.

You’ll serve as a trusted partner to the VP of Engineering helping them stay focused on the work that matters most. By connecting people, priorities, and decisions across Engineering, Product, Design, Finance, Legal, People, Operations, Marketing, and the Executive Leadership Team, you’ll keep initiatives moving, remove operational friction, improve day-to-day execution, and ensure nothing important falls through the cracks. You’ll thrive in ambiguity, exercise sound judgment, and proactively solve problems before they become distractions.

Key Responsibilities

Executive Partnership

  • Partner closely with the VP of Engineering to maximize their effectiveness and protect their time managing their calendars, incoming and outgoing requests, and reconciling conflicts
  • Build a deep understanding of executive priorities, organizational goals, and business context to proactively identify opportunities and risks.
  • Anticipate needs before they’re expressed and independently solve problems with minimal direction.
  • Act as a trusted extension of the executives while exercising exceptional judgment and discretion.

Executive Operations

  • Own complex calendar management across multiple time zones while balancing competing priorities and continuously optimizing executive time.
  • Manage meeting preparation, agendas, briefing documents, attendee coordination, and follow-up to ensure every meeting has clear purpose and outcomes.
  • Coordinate recurring department meetings, planning sessions and department offsites which will include an annual cross-department offsite and various smaller events throughout the year.
  • Track commitments, key decisions, action items, and cross-functional dependencies to ensure timely execution on behalf of the executive(s)
  • Prepare presentations, executive communications, spreadsheets, reports, and briefing materials for internal and external audiences.
  • Help prepare executives for board meetings, customer meetings, leadership presentations, conferences, and speaking engagements.
  • Partner with the Chief of Staff to the CTO in coordination of work.

Cross-Functional Coordination

  • Partner closely with leaders across Engineering, Product, Design, People, Finance, Legal, Marketing, IT, and Operations.
  • Build strong working relationships across the company and serve as a trusted point of coordination for executive priorities.
  • Partner with other Executive Assistants

Project & Program Management

  • Partner with Executive on deliverables such as headcount planning and department budgets
  • Partner with Executive on operating the performance review process
  • Improve administrative and operational processes by identifying inefficiencies and implementing scalable solutions.

Travel & Logistics

  • Coordinate complex domestic and international travel, including itineraries, accommodations, visas (when applicable), transportation, and contingency planning.

  • Coordinate department offsites, team gatherings, planning sessions, and company events.

Continuous Improvement

  • Continuously evaluate executive workflows and identify opportunities to improve efficiency.
  • Leverage AI-powered and modern productivity tools to streamline administrative work, automate repetitive tasks, and improve organizational effectiveness.
  • Recommend and implement new processes that improve collaboration across the department

What We Are Looking For

  • Significant experience supporting VP- or C-level executives within a fast-paced technology company
  • Experience supporting Engineering, Product, Design, or other highly technical organizations
  • Experience working with Google Suite, Notion, Slack, Zoom and Jira
  • Demonstrated success operating independently with minimal direction in rapidly changing environments
  • Exceptional organizational and project management skills with the ability to manage multiple competing priorities simultaneously

What this role involves

The Thuma team is looking for a talented and detail-oriented Producer to join our creative team. This role requires someone with strong organizational skills and production expertise, ensuring that all photo and video projects are executed flawlessly from concept to delivery. You’ll work closely with our Art Direction team, photographers, videographers, and external vendors to bring creative visions to life while managing timelines, budgets, and logistics.

Thuma’s Headquarters is based in the historic Presidio neighborhood of San Francisco. This role involves three to five days in office each week.

You Will

Pre-Production

  • Partner with Art Direction to turn creative briefs into actionable, feasible production plans and scope, including timelines, budgets, and resources.
  • Build production schedules, timelines, and call sheets, and develop cost estimates and budgets, including annual editorial budget planning.
  • Source and coordinate crew, talent, casting, photographers, videographers, stylists, and other vendors, plus locations, permits, and equipment.
  • Conduct production research and reference gathering, and keep moodboards and creative direction aligned with the brief.
  • Assess risk and build contingency plans; coordinate product samples, ensuring items are ordered, received, and stored ahead of production.
  • Lead pre-production meetings and coordinate across departments, stakeholders, and clients, including client briefings.

On Set

  • Provide shoot supervision and overall production oversight, managing Thuma’s internal studio productions end-to-end.
  • Coordinate crew, talent, photographers, videographers, stylists, hair & makeup, clients, and agencies on set.
  • Manage vendors, track shot progress, deliverables, and budget/resource allocation, keeping production pacing on schedule.
  • Run set-readiness checks and quality oversight, troubleshooting issues and facilitating live problem-solving under pressure.
  • Keep the team, stakeholders, and clients updated throughout the day, managing time, approvals, and on-set product sample logistics.

Post-Production

  • Coordinate wrap logistics, equipment returns, invoicing, budget reconciliation, and expense tracking.
  • Manage handoffs to edit, retouch, color grading, sound mix, and motion graphics teams.
  • Plan review sessions, consolidate feedback, and coordinate revisions through to final client approval and deliverable QA.
